COLLABORATE 09 is almost here and we wanted to provide you will all of the information you will need for a successful event. Please review this newsletter carefully — this will be your last one before the conference! Below you will find detailed information and deadlines to help you prepare for the show. Are You Ready for COLLABORATE 09?

Dear Exhibitor,

As you know, the annual COLLABORATE conference provides an affordable, intensive, one-stop venue for connecting with prospective customers. In spite of the economic downturn, the attendance projection for this year’s conference is a considerable 4500 — the largest gathering of the Oracle users community this spring.

The OAUG’s preregistration data shows that among the top three reasons for coming to COLLABORATE 09, registered attendees cite: “To interact with our current solutions and service providers.” Additionally, many attendees have indicated that even though budgets are tight, their organizations are sending them to COLLABORATE 09 to find solutions to existing problems or for future initiatives. These attendees are motivated to find products and services that will help them bring value to their employer and increase the return on investment in their Oracle environments.

What can you do to make the most of COLLABORATE 09?

  1. Stack the deck. Use the old fashioned telephone call to invite your customers and prospects to attend COLLABORATE 09. Or use the COLLABORATE 09 OAUG exhibitor marketing kit to create your Web site or e-mail campaigns. Make sure your target prospects will have a chance to see and interact with your company at COLLABORATE 09.
  2. Offer the new Attendee Expo Only registration option. For only $150, your customers and prospects in the Orlando area can spend the day cruising the Exhibitor Showcase. Reference your booth number so that they are sure to visit you.
  3. Be visible on site. If you are participating in any of the many OAUG sponsorships or special activities such as THEgame or OAUG Mini-Theater presentations, fine tune your plans and your PowerPoint presentations and promote your presence. Contact the OAUG tradeshow team with any questions or for assistance.
  4. Prepare for the sales call. Make sure your booth staff is prepared to engage in meaningful, needs-analysis sales conversations with booth visitors. Prepare probing questions in advance. Brief your booth staff on the key, benefits-focused message points for your product or service. Advance the sale.
  5. Follow through. Don’t let any leads drop through the cracks. Establish a plan for capturing, qualifying and following up on leads before you arrive on site. Important Exhibitor Information

Exhibitor Booth Information

If your company will be using a vendor besides Freeman to install/dismantle its booth, please send Erick Harrell the Exhibitor Appointed Contractor form located in the Exhibitor Service Kit. Erick will need the EAC form and a copy of your appointed contractors’ General Liability Insurance Certificate prior to arriving on site.

Exhibitor Registration

Exhibitors (Full conference and Booth Staff) will go to the OAUG Exhibitor registration desks located in Lobby D, Level II. Exhibitors do not go to the Pre-Registration lines.

The deadline to change/replace registrants has been extended until Friday, April 24. On-site name changes will be charged a $50 change fee.

New! Attendee Exhibit Hall-Only Registration ($150)

The Attendee Exhibit Hall-Only pass allows attendees to enter the COLLABORATE exhibit hall on Tuesday or Wednesday during the hours of 10:00 a.m. - 3:30 p.m. Includes access to the tradeshow floor for one day only, including lunch, afternoon break and any sessions taking place within the Exhibit Hall. This pass cannot be purchased for both days or combined with any other pass, and it may not be used by exhibiting companies for show staff or for Oracle Employees.

Don’t forget about the happening events going on at COLLABORATE!

Recognize Your Winners at COLLABORATE 09

Don’t forget that there is a dedicated area on the show floor to help exhibitors locate winning attendees. Since exhibitors are not allowed to make announcements over the PA system to announce their booth winner(s), the Winner’s Circle is a great way for you to connect with the attendees who have won your giveaways. At any time an exhibitor can place their winner(s) on the bulletin boards, by last name. The boards will be located in the back of the exhibit hall in booth 4580.

New! 2009 OAUG Exhibitor Awards

The OAUG Forum at COLLABORATE 09 honors those exhibitors who demonstrate excellence in brand marketing, creativity, innovation and booth staffing with the Best of Show competition.

Based on your feedback, and the help from the OAUG Exhibitor Advisory Council, the OAUG Exhibitor Best of Show competition has added new categories, and judging will now be based on your booth size.

Do you want to see the Best of Show Winner? Go to the OAUG Meeting of the Members Tuesday, May 5, from 4:30 to 5:30 p.m. in the Chapin Theater to see the exciting news being announced.

COLLABORATE 09 — OAUG Forum Agenda

Access only those sessions presented by OAUG at COLLABORATE 09, create and save your schedule using your existing OAUG profile. Or, create a new, free profile with the OAUG. You must log in to your OAUG profile or create a new one in order to save your COLLABORATE 09 — OAUG Forum schedule.

2009 Wellness Program

Let’s get physical! To assist, the OAUG has designed this program to supply the health-conscious attendee with guidelines on how to eat right, exercise, stay healthy and get the most out of the conference experience. A week away from a local gym shouldn’t deter your workout regime, and believe it or not conference food can be healthy. So lets get physical, every morning, with workout sessions held Monday through Wednesday from 6:00 a.m. to 7:00 a.m. at the convention center. Registration for the morning workout sessions is limited to the first 30 attendees for each day. Please contact speakerprograms@oaug.com to reserve your spot for the morning workout sessions. The Sunday Wellness Session is open to all OAUG attendees.

The Wellness Program will be facilitated by Orlando-area trainer Max Hoyt of F.I.R.M. Fitness Camp. Max has helped hundreds of people lose thousands of pounds through his FIRM Fitness Camps. Learn more about Max’s Fitness camp and see what you can expect when you meet him in Orlando.
