Countdown to COLLABORATE 09: The Exhibitor’s Guide to Success!
Six Weeks Until the Big Show!

Any exhibitor preparing for a show that’s only six weeks away could use a short and relevant checklist. To help you stay organized each month from now until the conference, the OAUG will provide you a list of our top seven to-dos. Here’s our list for six weeks out.
- Last chance to use your
OAUG Rewards°
Points. Hopefully by now you know that your Conference Points will expire before COLLABORATE 09; why not trade them in for discounts? One of best ways to your hard-earned points is by purchasing an
OAUG Mini-Theater session.
The price is minimal ($2,000) and with the discount you’ll receive, you’ll have the opportunity to directly engage conference attendees on the show floor in a different venue for little to no cost. It’s almost like exhibiting twice. Unlike education sessions, these theater sessions fill up fast with passersby, and the bonus is you get to keep all the scanned names. There aren’t many spots left, so grab one today!
- Submitting your carpet, electrical, lead retrieval and other vendor orders before the discount deadline is a must in this tough economy. Did you know that you can save at least 35% by sending in your show orders by April 17?
- Registration Closes. While you’re at your desk, take five minutes and
register online
before it closes April 3!
- Prepare your pick-up date/time for materials to be shipped to Orlando. Save yourself the aggravation and ship early not only to avoid the hefty surcharges, but to guarantee your items will be at your booth when you arrive for set-up. There’s nothing worse then having to stand in the long line at the Freeman service desk to track your shipment (arrivals can be received starting April 6). Also, be sure to consolidate trade show materials whenever possible to avoid additional drayage costs at show site.
- Do you have an exhibitor-appointed contractor setting up your booth? Don’t forget to complete the EAC notice form prior to the cut off of April 1, 2009. If this form is not sent in by the due date your EAC will not be able to set up your booth onsite.
- Develop a booth staff briefing kit and schedule booth staff training and a pre-show meeting to distribute a show plan to your sales team. We all know how challenging it can be to keep up with the sales team and to educate them on all the deliverables for the show. Ensure your sales team is prepared with all the information needed for COLLABORATE. We encourage you to inform your sales team prior to their arrival.
- The last, but most important, thing you must do is market your presence at COLLABORATE 09 by using your personal marketing message. The OAUG has made it easy — simply cut and paste the crafted messages into your own e-mail, enter in your booth number and hit send! This is your opportunity to let your customers know you’ll be participating at COLLABORATE 09. Download the

The OAUG Forum at COLLABORATE 09 honors those exhibitors who demonstrate excellence in brand marketing, creativity, innovation and booth staffing with the Best of Show competition.
Based on your feedback, and the help from the OAUG Exhibitor Advisory Council, the
OAUG Exhibitor Best of Show competition
has added new categories, and judging will now be based on your booth size.

- The deadline to change/replace registrants is April 3. On-site name changes will be charged a $50 change fee.
- Complete your Orange County Convention Center order forms (includes electrical, cleaning, rigging, etc.). Deadline April 9.

Tips to Stand Out as a Small Exhibitor
You don’t need a mammoth-sized exhibit or piles of money to make a big (and memorable) statement at your next show. Use these five tactics for getting the biggest bang out of your small booth.
- Use lighting. According to industry research, lighting can increase awareness of your exhibit by 30 to 50 percent. Renting a portable lighting system or using product spotlights will give your small exhibit the extra exposure it needs.
- Keep it simple. Feature only one or two products. Any more than that and you—ll just add clutter — and keep your prospects away.
- Employ bold colors. Find high-impact hues that will stand out from a distance, and avoid neutral colors that will just blend into the background.
- Invest in graphics. Using fewer and larger graphics is the first step. Then, make sure all graphics start no lower than 36 inches on the back wall. Otherwise, they won’t be seen when people or products are standing in front of them. And remember that dense or too-small copy will not be read.
- Be proportionate. Large reception counters or product kiosks will crowd your space and make it look even smaller than it is. Leave enough room in your exhibit so staffers can talk comfortably with attendees.
