Now that we are three months away from COLLABORATE 09, the OAUG tradeshow team has created the Countdown to COLLABORATE 09: The Exhibitor’s Guide to Success! Below you will find detailed information and deadlines to help you prepare for the show. As always, if you have questions please feel free to reach out to us.

Countdown to Orlando: Seven Things You Must Do … Three Months Before COLLABORATE 09

Any exhibitor preparing for a show that’s only 12 weeks away could use a short and relevant checklist. To help you stay organized each month from now until the conference, the OAUG will provide you a list of our top seven to do’s. Here’s our list for three months out.

  1. Confirm That Your Company’s Brand is Showcased. Now is a perfect time to confirm that all of your sponsorship deliverables and company descriptions have been submitted to the OAUG. Your company listing in the program guide is free. A 50-word description of your services is a must have for the program guide.
  2. Use Your OAUG Rewards° Points. Your Conference Points will expire prior to COLLABORATE 09. Why not trade them in for discounts? There’s a whole list of opportunities you can reward your company with for little to no cost at all. It’s all about the rewards, so use them!
  3. Read the Freeman Exhibitor Kit and Print Out the Forms you’ll Need to Submit Next Month. Prepare your carpet, electrical and other necessary vendor forms early to save money. Did you know that you can save over 20% on carpet alone by ordering before the discount deadline?
  4. Register For The Conference And Reserve Your Hotel Room Today. At COLLABORATE 09 we put the kibosh on vacation crashers. You must be a registered attendee at our show in order to book a room in our block. For this, we ask all exhibitors to use their discount codes and register early. With over 7,000 attendees, rooms at the popular hotels fill up fast! The beauty of booking early is the ease of knowing your rooms are secure, and you have plenty of time to make adjustments up to a few weeks prior to the show.
  5. Review All Show Hours. We play quite the balancing act with the education team and our General Service Contractor (GSC). Because of this, show hours may change from the original planning stage to the actual show opening. Prior to booking your flight to Orlando, take some time to review the Installation and Dismantle (I&D) hours and the show hours to ensure that you and your staff will arrive on time.
  6. Enter to Win! Entries for the OAUG Exhibitor Best of Show competition are now being accepted. Reward your company for all its hard work in preparation for COLLABORATE 09. This is a huge opportunity for your company to stand out in front of your competitors and take some great prizes back to the office — and it’s free to compete.

Upcoming Deadlines

White Paper Presentation and Mini-Theater Submission

If your Star Partner contract includes a Star Partner White Paper Presentation, a Star Partner VPA Session and/or a Mini-Theater Session at COLLABORATE 09, it is now time to submit your presentation.

Paper submission is currently open but closes on March 5, 2009. Failure to submit your information by March 5 will result in exclusion from the education CD that is distributed at the conference.

You should have received e-mail instructions on submitting your item(s), but please contact Katie Hamlin at khamlin@oaug.com if you need this information or for assistance.

Helpful hint: be sure to include all information in the submission form, especially the objectives, so that attendees can see as much information on your session as possible. We discourage submitting forms with “TBD” because attendees creating their online agendas tend to skip over sessions with incomplete details.

  • Log in to the Exhibitor Service Center to submit your company’s description for the onsite program guide. Deadline February 27.
